Refund and rescheduling policy

This policy applies to paid clinic seats, workshops, intensives, and private chart reviews booked with Cortex Helix Field Academy Limited.

Eligibility window

Full refunds of amounts paid (excluding the non-refundable seat-hold deposit where already applied) are available if you cancel in writing at least fourteen days before the scheduled session start.

Partial refunds

Cancellations received between thirteen and seven days before the session may receive a 50% refund of the balance paid above the seat-hold deposit. Inside seven days, fees are generally non-refundable because materials and staffing are committed.

Non-refundable items

The 30% seat-hold deposit on flagship clinics, courier fees for large-format prints already produced, and completed private review time are non-refundable.

Rescheduling

You may request one complimentary reschedule if notice arrives at least seven days before the session and another seat exists in a clinic within ninety days. Later reschedules may incur an administrative fee of HK$200.

No-shows and late arrival

Failure to attend without prior notice forfeits fees for that session. Arriving more than thirty minutes late may mean joining as an observer only; the session is still considered delivered.

Work already started

If a private chart review has begun, fees cover time already used. Unused remaining minutes may be credited toward a future review within sixty days at our discretion.

Materials

Printed packs prepared for your seat cannot be returned once the session starts. Unused packs for cancellations inside seven days are not refunded separately.

How to request a refund

Email info@neuron-waypointcore.click with your full name, session date, and payment reference. We confirm eligibility within five business days. Approved refunds return to the original payment method within fourteen business days.

Studio cancellations

If we cancel a clinic, you may choose a full refund or a seat in a later clinic. We are not responsible for travel costs beyond the clinic fee.
